Job Description:

Role Overview & Purpose: The Front Office Supervisor (FOS) works to support the mission and vision of Neighborhood Healthcare by cultivating an environment that produces excellent patient-centered care within a dynamic team setting.

To achieve these ends the Front Office Supervisor works to ensure a smooth workflow for clinic staff, provide excellent customer service, and support staff development by demonstrating and living the company values: Compassion, Above & Beyond, Generosity, Integrity, Teamwork.


The Front Office Supervisor’s job responsibilities and performance expectations generally fall into the following three categories: Staff Management & Development, Front Office Administration, and Patient Care Services.

The Front Office Supervisor nurtures employee growth and development by enabling employees to focus their efforts on patient-centered care. Example duties include, but aren’t limited to:


*Coaching, mentoring and promoting staff development as well as managing conflict and providing feedback in a timely manner.
*Supports interdepartmental and role communication through department rounds, emails and meetings.
*Works to create a culture of teamwork, engagement and patient-centered care.
*Provides sufficient coverage for front office operations including: staff scheduling, timecards, PTO requests, interviewing and selecting staff. The Front Office Supervisor ensures that patients experience excellent patient-centered care. Example duties include, but aren’t limited to:
*Monitors and responds to Telephone Encounters (TEs) and follows up with appropriate actions.
*Responds promptly and professionally to patient concerns and finds acceptable solutions to patient inquiries.
*Ensures accurate insurance eligibility information is maintained in electronic heath records. The Front Office Supervisor promotes workflow efficiency and improves day to day clinic operations. Example duties include, but aren’t limited to:
*Monitors Providers’ schedules to ensure that appointments are scheduled according to established guidelines.
*Ensures sufficient staffing of the front office, including patient check in, check out, and phone coverage.
*Works with the Site Manager or Clinical Team Leader, to resolve day to day scheduling concerns or changes.

Experience and Skills:

*KNOWLEDGE: Familiar with insurance eligibility and medical terminology. Basic understanding of electronic health record systems.
*SKILLS: Excellent time management, organizational, problem solving and communication skills. Use of sound leadership and emotional intelligence practices.
*ABILITY TO: Work under pressure and be flexible with changing site needs. Work with people of all social and ethnic backgrounds and maintain confidentiality. Able to train and manage staff in a collaborative manner.
*High School Diploma/ GED. Two years supervisory experience required or one year Lead or Trainer experience and successful completion of Project LEAP.
