Job Description:

Summary: The Front Office Supervisor ensures the effective operation of the health center front office, including but not limited to training and supervision of staff responsible for scheduling appointments, answering phones, and checking patients in and out of appointments. This position is expected to perform Patient Services Representative duties, including answering phones and making appointments, as well as supervising PSRs. 

 

 

 

Essential Duties/Responsibilities:

 

 

 
       1. Monitoring providers’ schedules to ensure that appointments are scheduled according to established guidelines.
       Responsible for maintaining office supplies inventory while adhering to clinic procedures for procurement.

  1. Accountable for monitoring, reviewing, and correcting billing errors, specifically Actions and submitting report to Site Manager.
  2. Promote attitudes, environments and operational systems directed toward patient satisfaction. 
  3. Build work teams to promote and improve effective health center operations.
  4. Provide staff training and orientation to new hires or volunteers working or assigned to department.  This should include a skills checklist with both observation of proficiency and the verbal feedback of key employees.
  5. Monitor reminder notices to patients re: upcoming appointments.
  6. In conjunction with the Site Manager or Clinical Team Leader, resolve day to day scheduling problems or changes.
  7. Monitor patient demands for visit types; i.e. CHDP, sick, etc. and keeps supervisor informed of high demand visits and/or problems.
  8. In collaboration with Triage Nurse, maximizes filling “no shows” with walk-in patients in a timely manner, as needed.
  9. Monitor daily cash receipts, internal control systems and resolves discrepancies with business office.  Work with staff to maximize collections within clinic guidelines. Report any unresolved discrepancies to Site Manager.
  10. Provide reports to the Site Manager as requested.  Work with the supervisor to conduct periodic audits for quality assurance and compliance by department staff.
  11. Hold knowledge and Act as a resource person for staff regarding policies, procedures, various funding sources, etc related to the front office.
  12. Emphasize, demonstrate, promote and adhere to excellent customer service skills including professionalism, confidentiality and proper etiquette. Hold staff accountable for same.
  13. Attend Managers meetings as required. Conduct regular department meetings and keeps minutes of same. Relay pertinent information to staff not in attendance. Keep staff informed of any change in regards to policies and procedures.
  14. Function at highest level according to credentials and competency
  15. Positively impact patient experience by demonstrating values of Transforming Care including, but not limited to, courteous and helpful behavior and a commitment to accuracy.
  16. Share accountability for overall patient health outcomes, working in coordination with Care Teams.
  17. Operate to instill confidence in our care and in our facilities to patients, fellow employees, and other stakeholders.

 

Experience and Skills:

Qualifications:  Minimum 2 years supervisory experience in a healthcare setting or successful completion of Project LEAP required.

Skills: Emotional intelligence (EI), the ability to be sensitive to and understand the emotions of others and to manage his or her own emotions and impulses required. Effective verbal and written communication, organization and interpersonal skills. Ability to interface with all levels of personnel in a professional manner. Ability to work with people of all social and ethnic backgrounds and maintain confidentiality. Ability to work independently and as part of a team. Able to assume leadership role in a health care organization. Able to train and develop staff.

Education: High school diploma/ GED.
